| ℹ️ **Want to access Useme API?** Email us at [employer@useme.com](mailto:employer@useme.com) or [book a call](https://meet.useme.com/meetings/employer-useme/?hsLang=en). |
| --- |

API access is free. It's only available to **employers who've completed their Useme profile**.

### How to turn on the API

Your IT team sets up the integration. After that, payments can run without their help.

**Step 1: Email us**

Email us at [employer@useme.com](mailto:employer@useme.com). We'll reply with a short survey about your needs and a link to the technical documentation. Share it with your IT team.

**Step 2: Test the integration**

We'll turn on the API in a sandbox environment. There, your team can test the integration without creating real deals.

To find your test token, log in and go to[*API access token*](https://sandbox.useme.com/en/).

**Step 3: Sign the framework agreement**

We'll send you a framework agreement with Useme.

**Step 4: Start settling deals**

After you sign the agreement, we'll turn on the production API with your account's default settings. You'll get a new token that works in production.

Done! From now on, your system creates deals on Useme on its own.

### Paying freelancers through the API

**Step 1: Your system sends data to Useme**

After integration, you pay freelancers automatically. Each payment starts with this data:

- the freelancer's email address,
- the deal title and description,
- the net amount and currency (PLN, EUR, USD, or GBP),
- the type of service (subcategory),
- copyright details: license, copyright transfer, or none,
- the language we should use with the freelancer,
- your own deal number (it protects you from paying twice – if your system sends the same deal twice, we won't create the second one).

The new deal appears on your[dashboard](https://useme.com/en/deals/my/all/) and under the tab: *All deals*.

**Step 2: The freelancer accepts the terms**

The freelancer gets an email from us with a link to a form. They don't need to log in to Useme. In the form, they:

- fill in their details (only the first time),
- check and accept the deal terms,
- confirm they've done the work.

We also ask freelancers to provide their account number for payouts and to verify their identity.

**Step 3: You pay the deposit request**

After the freelancer accepts the terms, we verify the deal. Then we email you the deposit request with a payment link.

You can pay by bank transfer, card, Apple Pay, etc. You can pay for each deal separately or use[group payments](https://help.useme.com/en/how-to-use-group-payments?hsLang=en) – we'll agree on this during setup. With group payments, you make one transfer for many deals. You make group payments on your Useme[dashboard](https://useme.com/en/deals/grouppayments/), not through the API.

**Step 4: You get invoices, and the freelancer gets paid**

After we receive your payment, we send you the final invoice. You can get a separate invoice for each deal or one combined invoice. We'll agree on this during setup.

The freelancer gets their payout to the account they gave us.

**What if a deal has an error?**

Email us at [employer@useme.com](mailto:employer@useme.com). Tell us which deal has the error and what needs to change.

### Deal statuses in the API

Your system can check a deal's status on Useme at any time. This way, you always know what stage each payment is at.

| **Status** | **What it means** | **What's next** |
| --- | --- | --- |
| created | The deal is created and waiting for the freelancer. | The freelancer fills in the form we emailed them. |
| processing | We're checking the deal and preparing the deposit request. | We send you the deposit request. |
| waiting\_for\_payment | We’re waiting for your payment. | Pay for the deal. |
| paid\_in | We've received your payment. | We pay the freelancer. |
| finished | The freelancer got their payout. | The deal is complete. |
| cancelled | This deal is no longer active. | Contact your account manager or email [employer@useme.com](mailto:employer@useme.com). |
| other | The payment is on hold and needs clarification. | Contact your account manager or email [employer@useme.com](mailto:employer@useme.com). |

You can also see your API deals on your[dashboard](https://useme.com/en/deals/my/all/), along with your other deals.

### Why use the API?

- **Less work for your team**

Your system sends deals to Useme on its own. No one on your team needs to remember to pay freelancers or fill in forms. For example, NanoInflu pays for 30–40 collaborations a month on average this way, with no manual work. [See the case study.](https://useme.com/en/blog/nanoinflu-case-study/)

- **More projects don't mean more work**

The number of payments and freelancers can grow, but your admin time stays the same. You don't need to hire extra people for paperwork.

- **You don't collect freelancers' data**

You hand over the whole process to us, from formalizing the work to paying for it. You only give us the freelancers' email addresses. They give us the rest of their details themselves. If unusual questions or issues come up, Useme support talks to your freelancers.

- **You know what's happening with every deal**

You and your team can check each deal's status at any time. You can also share it with the freelancers you work with. Everyone can see what stage the deal is at, whether it's paid and whether the freelancer got their money.

- **Less work for your accounting team**

You can pay for each deal separately, or get one combined invoice and make one transfer for many deals. It's your choice.

- **We handle the formalities for you**

The API automates the process, but we handle the formalities just like we do for any other deal on Useme:

- We sign the contract with the freelancer, so you don’t have to.
- You follow one process for every freelancer, whatever their country, service type, or currency.
- We verify freelancers’ identity and run sanctions and anti-money laundering (AML) checks.
- Freelancers can transfer copyright to you.
- You get a professional invoice in English from a regulated EU company.
- We help freelancers if they need support with their payment.

### API, Payment setup, or manual deals?

There are four ways to pay freelancers on Useme:

- [*Invoice a client*](https://useme.com/en/freelancer-invoice/) – the freelancer starts the payment process. They enter your company details. You’ll get a payment link by email, and then an invoice. You don’t need a Useme account. This works well if you work with individual freelancers and prefer that they handle the billing.
- [*Request an invoice*](https://useme.com/en/request-invoice/) – you fill in a form for each deal. It works well when you pay for one-off projects.
- [*Payment setup*](https://help.useme.com/en/payment-setup?hsLang=en) – you upload one CSV file with many deals. It works well when you pay for many projects at once, for example once a month.
- API – your system sends deals to Useme on its own. It works well when you pay freelancers on an ongoing basis through your own platform or system. Your IT team needs to set it up.

Choose the option that fits how many payments your company makes.

| **Useme feature** | **Request an invoice** | **Payment setup** | **API** |
| --- | --- | --- | --- |
| How you send data to Useme | You fill in a form for each project. | You upload a CSV file with project details. | Your system sends it on its own. |
| When it works best | You pay for one-off projects. | You pay for many projects regularly, for example once a month. | You pay on an ongoing basis through your own platform or system. |
| Do you need a developer? | No | No | Yes, for setup |
| How to start | Right away, in your account | We turn it on during a call or after you email us. | We turn it on after testing and after you sign the framework agreement. |
| Your team's tasks | Prepare the freelancer's details, fill in the form, pay the deposit request. | Prepare and upload the CSV file, pay the deposit request. | Pay the deposit request. |
