1. How does invoicing on Useme work?

Your contractor can invoice your company via Useme, even if they don’t have their own company.
Here’s how to do it:

  1. If the job’s done, the contractor must log in to Useme.
  2. Then, they should go through the Invoice and get paid process, where we’ll ask them to provide:
  • a work file (a sample is enough),
  • your email address,
  • the job’s description,
  • the job’s price (the invoice value or the contractor’s net payment).
  1. If you have used Useme before, your invoicing details will be filled in automatically after the contractor enters your email address. If not, give them your tax ID number.
  2. Once your contractor submits the form, our admin verifies it.
  3. After the verification, we send you a deposit request (pre-invoice) and await your payment.
  4. Once we receive your payment, a final invoice will be emailed to you automatically.
  5. We’ll transfer the payment to your contractor. We send outgoing transfers twice a day from Monday to Friday.

2. Does the employer need a Useme account to be invoiced?

No, you don’t have to sign up to Useme. However, with an active account, you will access your dashboard and use all of the features available only to employers:

  • posting job offers,
  • browsing contractor base and sending them private job invitations,
  • messaging contractors,
  • accessing all the documents related to the transactions you made via Useme.

3. How much does Useme cost for clients?

The current pricing is available here. Our service fee is 4.99% of the deal value. However, there is a monthly service fee cap sothe monthly cost of using Useme won’t exceed €99. Once a freelancer reaches this level, they can issue invoices for free until the end of the month.


The service fee is only charged for deals settled through Useme. Using other Useme features, including the job board or portfolio, is free.


You can also choose to cover the service fee by yourself. The more freelancers you pay through Useme, the lower your service fee for transactions is.

  • If you 1-2 freelancers per month, the service fee is 4.5% of the deal value.
  • If you settle with 3-5 freelancers per month, the service fee is 4.3% of the contract value.
  • If you settle with more than 5 freelancers per month, the service fee is 4.2% of the contract value.

4. Do I enter into a contract with Useme?

No, you don’t. Based on our terms and conditions, Useme enters into a contract with your contractor, who is obliged to do the committed job. Then, we resell the job to you based on a purchase-sale transaction and send you a final invoice.

By accepting the terms and conditions, neither you nor your contractor need to print or sign any contracts or documents. The entire process takes place online.

5. Can I enter into a contract with my contractor and still pay them via Useme?

Yes, you can. Write in your contract that all the payments will be handled through Useme and that you’ll be invoiced based on Useme website regulations.

6. How do I get copyrights to the contractor’s work?

Your contractor can permit you to use their work by:

  • Copyright transfer – it gives you exclusive and perpetual (forever) rights to the work. First, the contractor transfers copyrights to Useme, and then we transfer them to you. It happens entirely online and doesn’t involve printing any documents. You’ll get the copyright transfer protocol with a qualified electronic signature within three days after your contractor receives payment.
  • License – with a license, you have rights to the contractor’s work for 15 years, but they’re not exclusive. Your contractor can still sell the work to other clients. Licensing doesn’t involve printing or sending documents. It’s granted based on our website regulations.



7. Why is there no VAT ID/TAX ID on a pre-invoice?

We send you a pre-invoice (deposit request) at the beginning of each transaction with a contractor.
It confirms the project scope and price, but it’s not an accounting document, so it doesn’t contain your tax identification number. The seller’s and buyer’s VAT or TAX IDs will be stated on the final invoice.

8. If I’m not a VAT payer, can I get an invoice without VAT?

We can send invoices without VAT or with 0% VAT only if:

  • your business is outside Poland,
  • your business is from Poland, but it’s exempt from VAT.

9. Can I pay freelancers from abroad via Useme?

Yes, Useme lets you pay your contractors, no matter where they live and work. They will receive a gross payment and must settle the taxes on their own. Here’s How to sign up to Useme.

10. How to post a job?

If you want to outsource work but don’t have a contractor yet, you can find one on our freelancer base. When you post a job, they can apply for it and send you job offers. Here’s How to post a job.



11. I posted a job and accepted a job offer from a freelancer. What’s next? How do I pay them?

  1. Once you accept a job offer from a chosen freelancer, the deal is created – now, you have a contractor who will do the job for you!
  2. We’ll email you a deposit request for the amount you’re requested to pay. According to Useme regulations, the freelancer can start working only after you pay a deposit request (pre-invoice).
  3. Once we receive your payment, we’ll email you a final invoice and notify your freelancer that it’s their time to do the job and that the countdown to the deadline has begun.
  4. The freelancer must upload work files to Useme within the agreed-upon deadline.
  5. Once the freelancer uploads work files to Useme, you have seven days to review and accept or reject them.
  6. Your freelancer gets paid when you accept their work files. If you don’t decide within seven days, the work files will be accepted automatically, and your freelancer will get paid.
  7. The freelancer will get paid within 24 hours (on working days) after you accept the work files.

12. How does “Sign the secure contract” work?

The Sign a secure contract option protects you and your freelancer by establishing an agreement through Useme. This agreement outlines expectations, deadlines, and payment terms, and both you and your contractor are legally bound to fulfill them.

Here’s how to sign a secure contract on Useme:

  1. The freelancer initiates the deal by logging in to Useme and filling in the Sign a secure contract form.
  2. We email you the contract proposal based on the details filled in by the freelancer. You can accept it with one click.
  3. Once you accept the contract proposal, we’ll create a deal and request that you pay the deposit request. We'll send you a confirmation document to give both sides of the deal an extra layer of security.
  4. Once we receive your payment, we’ll email you a final invoice and notify your freelancer that it’s their time to do the job and that the countdown to the deadline has begun.
  5. Once the freelancer uploads work files to Useme, you have seven days to review and accept or reject them. Here’s How to download and accept or reject the work files.
  6. Your freelancer gets paid when you accept the work files. If you don’t decide within seven days, the work files will be accepted automatically, and your freelancer will get paid.
  7. The freelancer will get paid within 24 hours (on working days) after you accept the work files.
